The Greater Southeast Affiliate of the American Heart Association is looking to fill a seasonal, part-time, 20-25 hours per week, 12-14 weeks (please only apply if you are looking for part-time, seasonal work) opportunity for a Youth Market Event Specialist in our (Nashville, TN) office. The Event Specialist will work directly with the market Vice President and administratively support a team of 7-10 staff and will start in ASAP and run through April 2017 . Responsibilities will include assisting with day-to-day support activities, creating mass copies of promotional flyers/cards/letters, delivering materials to schools, interacting with school volunteers, and will serve as a backup to conduct school assemblies in rare cases. This person will have strong computer and data skills, and strong organizational, time management, and administrative skills. We will train the selected candidate on all aspects of the job responsibilities. The overall objective and driving force for this position is to focus on a high level of customer service and satisfaction though making event promotional copies, delivering/shipping documents to schools, and daily data entry will in turn contribute to school retention and an increase in donations for the American Heart Association.


Provide day-to-day support to a team of 7-10 staff including coordination, printing, mailing/delivery of Save the Date cards, Kick-Off flyers, parent letters, weekend blitz flyers, and last chance fundraising flyers

  • Daily data entry utilizing Microsoft Dynamics software; knowledge in program a plus

  • Schedule and follow up on pending meetings via Microsoft Outlook as needed for the Director

  • Supporting all development efforts in the territory that will help raise money through our school-based program

  • Willingness and ability to travel 30-40% of the time within the designated market and make various deliveries to schools and Office Depot/UPS for large print jobs

  • Strong Microsoft Publisher/Word experience and ability to create and edit promotional collateral

  • Ability to complete administrative related tasks such as reviewing documents, copying, printing, mailing/shipping, and data entry

  • Independent, self-motivated worker

Ability to serve as backup if needed to conduct all school “Heart Healthy Presentation” assembly

Required Experience

  • High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred

  • 1+ years of prior administrative experience, preferably in non-profit work

  • Ability to prioritize and handle multiple tasks, managing multiple projects/deadlines simultaneously

  • Ability to handle large/multiple print jobs and mailings at once

  • Attention to detail and drive for excellence

  • Excellent verbal and written communication skills

  • Excellent computer skills (Word, Excel, Publisher) Microsoft Dynamics knowledge a plus

  • Ability to work independently

  • Ability to work under tight deadlines and help move projects forward

  • Willingness and ability to travel throughout the designated market on a frequent basis

  • Ability to speak publically

  • Ability to operate a vehicle and visit schools (driver’s license and criminal background check will be conducted) and ability to lift 20-30 pounds.

NOTE: This is a work out of a local office position that will require travel in the designated territory. The ideal person for this position has strong computer and organizational skills, strong administrative experience, is self-motivated, organized, works well independently, and has skills in Word, Excel, Publisher, and Outlook. The ideal candidate will be required to attend a day training session and video conferencing training sessions.
