The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate (non-exempt/hourly) in our Midwest Affiliate office located in Okemos, MI. The Administrative Associate provides administrative support that helps ensure effective execution of American Heart Association health impact goals and objectives in the assigned areas.

Advocacy – Drives American Heart Association’s public policy priorities at the federal, state, and local level and develops, trains, and retains a robust grassroots network that activates in response to issues that impact the nation’s cardiovascular health.

Major Responsibilities:

  1. Develop, input, and maintain information in appropriate computer software programs, including but not limited to Microsoft Office programs, NationBuilder and E1.

  2. Develop, oversee and/or assist in the development of materials including but not limited to “action alerts,” event brochures, invitations, flyers, newsletters. Manages the distribution of materials for activities in the assigned markets.

  3. Monitor legislative process by reviewing and tracking legislation, committee hearings, and House of Representatives and Senate calendars.

  4. Assist with all logistical coordination, including catering when needed, of Lobby Days, In-district meetings with lawmakers or other legislative events and meetings.

  5. Manage assigned staffs’ calendars by scheduling meetings, coordinating the logistics, and assisting in the preparation thereof, including travel arrangements.

  6. Perform general accounting/bookkeeping processes for billings, expense reports, income reporting, lobbying reporting and other applicable financial transactions. Keep current with the Affiliate budget numbers.

  7. Establish and maintain superior customer relations with internal and external constituents by maintaining professionalism and timely responses to requests.

  8. Perform online web-based searches and research tasks.

  9. Assist in keeping AHA website content, including but not limited to corporate Internet and Intranet, current by developing relevant content (blogs, survivor stories, etc) and sending information about activities, events and other updates to the appropriate point-person.

  10. Attend all meetings and training mandated or approved by supervisor.

  11. Willingness to accept other duties and responsibilities as assigned.

  12. Set up teleconference calls and handle RSVP's, i.e. Legislative Lowdown, Advocacy Work groups, Coalition calls.

  13. Coordinate and attend volunteer and coalition meetings, training's and projects as needed including writing meeting minutes, and handling the correspondences, logistics and follow- up.

  14. Represent the American Heart Association advocacy department at appropriate community events and activities around the state. Assist with set-up and take-down, collection of offline actions, distribution of supplies/materials and identify new advocates.

  15. Process health fair and speaker requests.

  16. Perform receptionist/switchboard duties, as needed, including directing and transferring calls, managing voicemail and greeting system, and greeting and directing visitors.

  17. Ensure all activities function within the parameters of American Heart Association and Midwest Affiliate policies.

  • Must have earned a high school diploma or GED.

  • Must have at least 1 year of experience in a related role.

  • Must have at least intermediate knowledge and skill with Microsoft Office 2010 or higher used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.

  • Must have working knowledge of social media programs including Facebook, Twitter and Instagram.

  • Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers and the public. This includes ability and willingness to build and nurture relationships within and outside the American Heart Association. This also includes the ability to work cooperatively with others to leverage resources to achieve common goals.

  • Ability to be diplomatic, self-motivated, resourceful, tactful and flexible.

  • Ability to function independently with minimal supervision.

  • Proven background and willingness to work in an atmosphere requiring flexibility and change.

  • Must pass background check.

  • Must be at least 18 years old.

  • Knowledge of and skill in report preparation, proofreading and attention to detail.

  • Ability to acquire understanding and absorb new information rapidly.
