Responsibilities

The American Heart Association (AHA) has an excellent opportunity for a Temporary Part-Time Customer Service Rep – Lockbox/Mailroom in our Austin office(February 17 th through April 17 th , 2020). This position will manage Lockbox/Mailroom duties during our Spring season. The Mailroom duties focus on processing In-house orders and count incoming inventory.

Expectations: Part-Time Schedule of Monday – Friday, 10:00 AM – 4:00 PM

Essential Job Duties for Lockbox/Mailroom Temporary Part-Time Position:

  • Feb. 17-21 | Training & basic tasks

  • Materials sent from in-house (Names, quantities, typical terms)

  • How Pick-Ticket Process works: how to organize, read, and package materials

  • Reporting system for verifying the shipment of packages.

  • How to fill out FedEx form and print labels.

  • Shared Lockbox protocols – how to organize, complete, and Close Events

  • Dynamics event data entry processes (Event Status)

  • Dynamics data entry & processes (particularly prize and incentive giving)

  • Thank-you/Closing Event process

  • Online Ordering Tool training

  • Feb. 24-April 17 |Lockbox & Mailroom Daily Processes

  • Daily morning Check in with Garrett

  • First Pick-Ticket and Second Pick Ticket printings processed, and all packages prepped and labeled.

  • Packages moved to the front door before 3:30 in preparation for FedEx arrival

  • Counting materials returned to the Austin office to add them to our current inventory.

  • Reporting

  • Data entry of Event Summary Gift Order form and status (Results Known, Income Received, Closed/Complete)

  • Contacting YMD’s to verify event details

  • Processing Event incentives and correctly recording data on Dynamics and Lockbox Report

Qualifications

Skills Needed:

  • Ability to comfortably navigate Windows operating system

  • Ability to quickly learn new and complex software - experience with Greater Giving or similar nonprofit fundraising software is a plus

  • Ability to focus on a detailed, potentially tedious task for several hours while ensuring quality and accuracy

  • Ability to follow detailed directions

  • Commitment to complete and accurate data, as well as accurate spelling/grammar

  • Ability to interface with external and internal customers in a friendly, professional manner via phone or email

  • Intermediate Microsoft Word skills (mail-merging knowledge is a plus)

  • Basic Microsoft Outlook and Excel skills

  • Office administration skills, including general clerical skills (e.g., basic computer knowledge, email etiquette, email organization, filing, typing, copying, telephone etiquette and office operations.

  • Ability to work in a team environment (e.g., effective interpersonal and customer relations skills)

  • High school diploma or GED equivalent required

  • Must have the ability to lift at least 50 lbs. from the ground to waist level with or without reasonable accommodation
