The Project Coordinator position, supporting the Quality Improvement Team of the (QORA) division, will be primarily responsible for project support and program activities, in defined markets, to achieve program goals supporting all QORA quality programs/registries. Other duties will be based on implementation responsibility assigned by direct Supervisor and/or Sr. Manager.
Plan meetings and trainings for QORA team
Calendar management for direct Supervisor, as needed
Provide Get With The Guidelines support of recognition program, as needed. Including customer award notification, certificates, mailing lists, etc.
Assist with customer webinar and conference logistics and operations including registration, technology, CME, etc.
Administrative support for QI Managers, as needed
Collaborates with QORA Meetings Manager to plan all logistics for customer workshops and conferences. This could include venue contract, event logistics activities such as: co-ordination of food and beverage, table set-up, and other logistical requirements for the workshop. Prepares attendee and faculty materials. Record events and post appropriately for customers/staff
Knowledge of E1 including expenses, check request and invoicing processes
Create and maintain timelines/action plan on assigned projects to ensure organized, strategic and timely deliverables
Organize, manage and communicate SharePoint site(s) and resources, including review & clean up, as necessary
Knowledge of Smartsheets and/or Microsoft Forms, to track information or create surveys to support QORA team
Ability to provide IRP/PMT support by performing data pulls, new user requests, etc.
Ability to utilize Microsoft Dynamics for QORA activities including data entry, dashboards, reporting, and trainings
Manage GWTGSupport@heart.org or other QI customer email inboxes
Ability to utilize Definitive Health or other marketing database to support account management
Professional business email communication to staff and customers
Use of Exact Target or other technology to create and distribute mass customer communications, including support to ensure updated customer contact information
Manage QI Manager territory tracker for account management assignments
Welcome emails to customers
Submitting customer request for GWTG access
MSD updates & reporting
QI SP management
Customer award notification emails
Management of GWTG Support email inbox, address customer request
Webinar/conference logistics & operational support
Agenda support & speaker confirmation for QORA team meetings, QI Team meetings & other internal/external meetings as requested
Willingness to accept other duties and responsibilities as assigned by Supervisor, including participating on QORA Surge Work Teams as requested/needed if skills align with the demand of the team
High School Diploma or Equivalent
At least Two (2) years of experience in office administration
Demonstrated expertise in office management procedures, scheduling systems and large-scale file maintenance
Strong planning and excellent written and oral communication, including business English, spelling, grammar, punctuation and proofreading
Ability to work independently, excellent organizational skills, ability to conceptualize, make effective decisions and lead multiple projects without supervision
Intermediate to Advance in MS-Office – Word, Excel, PPT.
Excellent PC/word-processing skills in appropriate software
Ability to prioritize assigned projects/tasks
Excellent interpersonal skills and a collaborative work style
