Responsibilities

The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate-Health Strategies in ourMidwestAffiliateoffice located in the Twin Cities (Eagan) , MN. The Administrative Associate willprovide administrative support that helps ensure effective execution of American Heart Association health impact goals and objectives in the assigned areas. Associate will be responsible for supporting staff in one or more of the following area within Health Strategies:

To provide administrative support that helps ensure effective execution of American Heart Association health impact goals and objectives in the assigned areas. Assistant will be responsible for supporting staff in the following areas within Health Strategies:

Community Impact –Supports administrative needs for community impact efforts in the Twin Cities to drive mission results and health impact goals to reduce death from heart disease and stroke while improving cardiovascular health for all, with an emphasis inhigh risk communities.

MN Scholarship Program –Provides administrative support for the Minnesota Scholarship Program.

Major Responsibilities :

  • Develop, input, and maintain information in appropriate computer software programs, including but not limited to Microsoft Office, Dynamics, and E1, to include data reporting.

  • Perform general accounting/bookkeeping processes for billings, expense reports, income reporting, donations, check requests and other applicable financial transactions. Keep current with the Affiliate budget numbers.

  • Provide support in the management of Community Impact projects in TC metro.

  • Provide assistance in directors’ correspondence including form letters.

  • Develop, input, and maintain information in appropriate computer software programs.

  • Coordinate and attend volunteer and coalition meetings, trainings and projects as needed including writing meeting minutes, and handling the correspondences, logistics and follow- up.

  • In partnership with Directors and management, coordinates event logistics. This includes but is not limited to: upkeep on event websites, coordination of regular e-mails, and duties assigned. Will participate in regular planning meetings with internal and external logistics partners.Minimum travel for conference support.

  • Develop, oversee and/or assist in the development of materials including but not limited to event brochures, invitations, flyers, newsletters. Manages the distribution of materials for activities in the assigned markets.

  • Process health fair and speaker requests.

  • Set up teleconference calls and/or webinars and handle RSVPs.

  • Maintain an orderly filing system for correspondences, minutes and other department and office-related documents.

  • Attend appropriate events, meetings, and conferences. Assist with set-up, registration, ordering food and supplies/materials, preparing supplies/materials, and organizing other American Heart Association staff at events, meetings, and conferences as appropriate.May serve as an American Heart Association representative at events, meetings, and conferences.

  • Establish and maintain superior customer relations with internal and external constituents by maintaining professionalism and timely responses to requests.

  • Ensure that divisions and activities function within the parameters of American Heart Association and Midwest Affiliate policy.

Qualifications

  • Must be at least 18 years old.

  • High School Diploma or equivalent required.

  • Minimum one year of related office experience.

  • Must have at least intermediate knowledge and skill with Microsoft Office 2010 or higher used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.

  • Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers and the public. This includes ability and willingness to build and nurture relationships within and outside the American Heart Association. This also includes the ability to work cooperatively with others to leverage resources to achieve common goals.

  • Ability to lift and/or move up to 20 pounds with the expectation that items in excess of 20 pounds would be broken down into smaller components or additional assistance is required before lifting and/or moving.
