This position can be home based.

This is a full time, benefits eligible, grant funded opportunity. Current funding will expire on 6/30/2024.

Responsibilities

This individual will be responsible for providing coordination and administrative support for a clinical research trial run within the Real-World Evidence Division. Responsible for preparing and distributing site and volunteer communications, scheduling, volunteer management and other organizing efforts based on project assignments. Also, responsible for operational budget and expense processing, record keeping or other administrative duties.

  • Coordinate and monitor project timelines while effectively communicating project needs and related information, as required

  • Organize and maintain project working files and track critical regulatory documents. Create and maintain tracking documents, as needed

  • Evaluate and maintain information and accurate data for compliance requirements and internal reporting needs

  • Collaborate with internal and external customers to ensure documentation is accurate and meets expectations

  • Provides trial status tracking and progress update reports to the team as required. Ensures trial systems are complete, accurate and updated per agreed trial conventions (e.g. Clinical Trial Management System)

  • Coordinates with Procurement and Legal to execute contracts pertinent to the clinical trial

  • Communicate with client base to organize and manage assigned projects/events/meetings. Recruit staff and/or volunteers for participation, coordinate with vendors, or perform virtual or on-site set-up and logistics coordination

  • Supports scheduling of client and/or internal meetings with completion of related meeting minutes

  • Utilize vendor and/or AHA systems (e.g. E1, Optimus, etc.) efficiently and competently to process invoices, contracts, requisitions, and expenses. Prepare monthly reports to track cooperative agreement activities. Submit staff and volunteer reimbursements

  • Provides coworkers, volunteers, and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate

  • Assists with marketing efforts which may include updating on-line content, distribution/mailing of marketing materials, or vendors/contractors/volunteer’s communication Act as a resource and administrator for project team members on SharePoint

  • Contributes to other project work and initiatives, such as Clinical Studies Expert Panel, as required

  • Contributes to the project team by assisting in preparation of project publications/tools and sharing ideas/suggestions with team members

Qualifications

  • High School Diploma or Equivalent

  • Two (2) – Five (5) years of experience

  • Proficient at project coordination

  • Has a strong work ethic and organizational skills

  • Must be proficient Microsoft Products (e.g. Excel, PowerPoint, Word, SharePoint, etc.)

  • Basic accounting process experience

  • Demonstrated ability to prepare written and presentation communications

  • Demonstrated customer service skills

  • Ability to work within a team with a customer service-oriented approach

Preferred Experience:

  • Bachelor's degree

  • Meeting or event planning experience
