American Heart Association Event Specialist in Irving, Texas

Responsibilities

The American Heart Association (AHA) has an excellent opportunity for a full time Event Coordinator in our Irving, TX office. The role directly supports the Director of Events and involves a broad spectrum of logistical planning, implementation, and execution for events of all scales. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

Essential Duties:

  • Support of event collateral and signage

  • Event expense entry

  • Event timeline management

  • Venue and vendor contract review to execute all AHA responsibilities

  • Supply ordering and tracking management

  • Supply and event materials management

  • Assistance in coordinating and communicating with event staff

  • Event volunteer recruitment

  • Management of all event data such as tent forms, company photo schedules, and company packet assembly and delivery for the Dallas Heart Walk

  • All pre-event vendor scheduling and confirmations

  • Day of event vendor point of contact

  • Event photographer booking and management

  • Shot lists, photo receipt and organization

  • Management and organization of vendor databases

  • Day of event assistance to the Director of Events

  • Event décor inventory management

  • Assistance in all meeting preparation

  • Other duties as assigned by the Director of Events

  • This position will be the primary event contact and support for the Tarrant County office

Qualifications

Required Skills:

  • Minimum of 2 years’ experience in the event industry

  • Management, implementation, and execution of events ranging from 250 people to 1,000+ people.

  • Minimum of 1 year experience in office practices and administrative, supporting multiple staff members

  • Communicating with others to effectively carry out essential job functions

  • Ability to plan, produce and execute digital events through platforms such as Zoom Webinar.

  • Effectively managing multiple priorities involving multiple customers

  • Meeting management and event management including set up, outlook invitations, copies, catering, logistics and meeting minutes

  • Knowledge of business letter writing format, style, and protocol

  • Intermediate to excelled use in MS Word, Excel, Outlook and PowerPoint
