Responsibilities

The American Heart Association (AHA) has an excellent opportunity for a Development Specialist out of the Tallahassee, FL office. You will primarily be responsible for logistical and administrative support relating to key fundraising events for the annual Northwest Florida Heart Walk, Northwest Florida Heart Ball, Okaloosa/Walton Heart Walk, Bay County Heart Walk and Bay County Heart Ball

Additional responsibilities will include database management, financial reporting, assisting with creation of promotional materials, obtaining in-kind donations and interacting with corporate sponsors.

Primary functions to include :

  • Planning of event logistics, including the 3-Heart Walks and 2-Heart Balls but also additional events throughout the year like a CEO Breakfast, a Heart Walk Awards Party, an Executive Challenge celebration event, Patron Party and/or Research Reception (i.e.: securing venues, reviewing and negotiating vendor contracts and proof of insurance, van/truck rentals)

  • Managing and tracking direct and indirect event expenses

  • Meeting deadlines for the development and management of respective annual budgets

  • Volunteer recruitment and management (External Partners)

  • Creating and/or coordinating AHA materials and packets and helping to prepare for quarterly Executive Cabinet meetings

  • Managing and updating internal database systems

  • Accountability and upkeep of Sponsorship Agreements

  • Securing auction items and in-kind donations

  • Managing post-event feedback

  • Supporting fundraising directors with day to day administrative tasks

Qualifications

  • High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred

  • 1+ years of prior administrative and event planning and/or non-profit experience

  • Ability to prioritize and handle multiple tasks, managing multiple territories simultaneously

  • Attention to detail and drive for excellence

  • Ability to recruit and train large groups of office and day-of-event volunteers

  • Excellent verbal and written communication skills

  • Excellent computer skills (Word, Excel, PowerPoint, and Publisher). Familiarity with mail merge, spreadsheets, and ability to use Publisher for print collateral design

  • Ability to work independently and sometimes irregular hours and on weekends. (The three Heart Walks generally occur on three consecutive weekends in September)

  • Ability to lift 20-30 pounds

  • Overnight travel required (20%). Travel to the Florida Panhandle is required: Pensacola, FL, Destin/Fort Walton Beach, FL, and Panama City Beach, FL.

  • Ability to rent and drive vehicles, including but not limited to car, van, SUV, truck and U-Haul Box Truck for Heart Walks.#LI-KB1
