American Heart Association Project Coordinator, Clinical Research in United States

Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel. All AHA offices are closed and staff are currently working from home. Offices will be reopening in October 2021; this position will resume to being based in the local office.

Responsibilities

The American Heart Association has an excellent opportunity for a Project Manager in our Quality & Health IT department based out of our National Center office located in Dallas, TX!

This is a full time, benefits eligible, grant funded opportunity. Current funding will expire on 6/30/2024.

This individual will be responsible for providing coordination and administrative support for a clinical research study run within the Real-World Evidence Division. Responsible for preparing and distributing site and volunteer communications, scheduling, volunteer management and other organizing efforts based on project assignments. Also, responsible for operational budget and expense processing, record keeping or other administrative duties.

  • Coordinate and monitor project timelines while effectively communicating project needs and related information as required

  • Communicate with client base to organize and manage assigned projects/events/meetings. Recruit staff and/or volunteers for participation, coordinate with vendors, or perform virtual or on-site set-up and logistics coordination

  • Assists with marketing efforts which may include updating on-line content, distribution of marketing materials, or vendors/contractors/volunteer’s communication. Act as a resource and administrator for project team members on SharePoint

  • Utilize vendor and/or AHA systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to process invoices, contracts, requisitions, and expenses; Prepare monthly reports to track cooperative agreement activities. Submit staff and volunteer reimbursements

  • Evaluates and maintains information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations. Coordinates with Procurement and Legal to execute contracts pertinent to the clinical study

  • Provides coworkers, volunteers, and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate

Qualifications

  • High School Diploma or Equivalent

  • Two (2) – Five (5) years of experience

  • Proficient at project coordination

  • Basic accounting process experience

  • Demonstrated ability to prepare written and presentation communications

  • Demonstrated customer service skills

Preferred Experience:

  • Meeting or event planning experience
