The American Heart Association has an excellent opportunity for an Operations Manager in our Quality, Outcomes, Research, and Analytics (QORA) department!

This position can be home-based.

Responsibilities

Responsible for active oversight and prioritization of departmental administrative and operational services, including contracting process oversight and maintenance, internal service management and throughput, audit and risk management, development and maintenance of departmental SOPs and key process documentation, as well as other related business support operations.

Manages day-to-day triage and prioritization of QORA departmental internal service requests and support needs in alignment with strategic plans and goals. Works in conjunction with other QORA Operations staff to triage and facilitate efficient internal service to meet the department’s business and operational needs.

  • Oversees and manages key administrative processes to ensure that overall business goals are reached in a timely and efficient manner in compliance with the Association's policies and guidelines.

  • Direct internal departmental service management request throughput, including prioritization and delegation based on resources and alignment with strategic priorities. Coordinates with cross-functional stakeholders and reports on internal service submissions and output to ensure timely response and resolution.

  • Develops and implements standardized and centralized department administrative processes to maximize efficiency and utilization of resources.

  • Lead on risk management, compliance, and audit activities, including ongoing oversight of risk mitigation processes and proactive scanning/process development for newly identified operational risks.

  • Key liaison to project and program management teams for administrative support functions, standardizing and scaling common business support functions across teams.

  • Identifies ongoing opportunities for process improvement and develop framework for implementation of new and updated standard operating procedures.

Qualifications

  • Bachelor's degree or equivalent work experience.

  • At least three (3) years of experience.

  • Must have in-depth knowledge of budgeting and reporting processes, ideally with government grants.

  • Excellent in oral and written communication. Ability to connect with all levels of Association staff. Ability to connect with technology and non-technology staff.

  • Demonstrated ability to lead multiple projects simultaneously.

  • Ability to travel up to 5% local and overnight stay.

Here are some of the preferred skills we are looking for:

  • Effective time management and organization skills.

  • Experience supporting department operations.

  • Experience with developing and managing process (and process change) documentation.

  • Experience working in a fast-paced, multifaceted environment. Excellent at working against deadlines to produce an end product.

  • Experience with vendor management.
